The Receptionist cum Admin plays a key role in creating a welcoming and professional environment for all visitors, clients, and employees. This role is responsible for managing front desk operations while providing administrative support to ensure smooth office functionality.
1. Reception Duties:
– Greet and welcome guests promptly with a positive and helpful attitude.
– Direct visitors to the appropriate person or department.
– Answer, screen, and forward incoming phone calls efficiently.
– Provide basic and accurate information in person, via phone, and through emails.
– Maintain the reception area to be tidy, presentable, and well-stocked with necessary materials (e.g., brochures, stationery).
2. Administrative Support:
– Receive, sort, and distribute daily mail, packages, and deliveries.
– Manage office security by following safety procedures and controlling access through the reception desk.
– Coordinate with building management for necessary office service registrations and maintenance requests.
– Register and manage employee parking cards and office access cards.
3. Employee Support:
– Order, manage, and maintain an inventory of office supplies to ensure stock availability.
– Oversee the general upkeep of the office environment and arrange for necessary repairs and maintenance.
4. Travel & Event Coordination:
– Work with travel agencies to organize transportation and accommodation arrangements for business travel requests.
– Provide administrative support in planning and coordinating company events, meetings, and activities.
5. Other Responsibilities:
– Complete other ad-hoc tasks as assigned by the manager.
– Continuously seek ways to improve administrative processes for greater efficiency.
– Fresh graduates or those having less than one year of experience in a similar receptionist or administrative role.
– Strong communication and interpersonal skills.
– Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
– Professional appearance and behavior.
– Ability to multitask, prioritize, and manage time effectively.
– Strong organizational skills with attention to detail.
